SEPTEMBER 2007

Met September 30th at VHCC with Lynn Blakeley, Jim Kelch, Jan Donnelly, Angie DeMange, Kathy Magoto, Madelyn Borchers and Daniel Kuether present. 

 

Secretary’s report:  Lynn read the minutes from the August meeting.  The minutes were approved without correction.

 

Treasurer’s report:  Jan reported all the bills and expenses paid to date.  

 

Forever Plaid:  Was extremely well received.  Everyone received positive feedback from the audience, including suggestions to do a dinner theater every year.  Tickets are on sale for Saturday 10/6’s performance at Memorial Hall in Greenville.  It appears a profit will generate from these performances.  There are, however, still expenses to be turned in to Jan.  Suggestions for future dinner theaters:  Another bartender should have been on hand (a total of 3 were needed for the cash bar).

 

Board Members:  Everyone was given an area of concern for the club’s sake.  Currently a committee is being requested to list job descriptions for each office.

 

Summer Entertainment:  This year’s entertainment was wonderful, and we’ve had great crowds.  Keith agreed to line up next years gazebo entertainment.

 

September Elvis Show:   Was very successful.  The double billing of Dwight Icenhower & Doug Brewin was well received by the audience.   Jim suggested we consider booking Dwight now for next year.

 

Upcoming Shows:  Pump Boys and Dinettes as a dinner theater probably next fall (Sept. ’08).  High Tops is being reconsidered.   Jan advised that the High School Drama Club production will be (Thurs) Jan 4th and (Sat), Jan 6th   and the Musical will be March 21st & 22nd.   Therese is willing to direct the next June show.  Currently she is considering Seussical or Oliver.

 

Old/New Business:    Jan reminded everyone that our club is tax-exempt.  When purchasing for the club we are to utilize our tax ID number.  Most local stores already have it on file, but if you need it, please contact Jan.

*It was decided that we had to stay with organizing the costume room and get Jim’s room dividers for the costume room too.

*In response to Sharon Tipton’s request for T&CP’s help in starting a 5th/6th grade choir after school, the following committed to helping out 3:15 – 4:00 pm on Tuesday during their month.   October – Jan Donnelly,   November – Daniel & Madelyn, December – Angie, January – Lynn.  The remaining months can be decided at a later date.

*The website will be updated to move Cinderella to a Past Production, add our student representatives and include Jim’s email for the Patron Membership.  It was advised that everyone visit the website to help make suggestions.  www.towne-and-country-players.com

*It was agreed to move the Hometowne Christmas Celebration to the weekend of Nov. 29, 30 & Dec 01. 

 

Angie made a motion to adjourn, it was seconded by Kathy.  Motion carried.

AUGUST 2007

Met August 26th at VHCC with Therese Pohlman, Jan Donnelly, Kathy Magoto, Lynn Blakeley, Jim Kelch, Doug Gordon, Keith Rawlins, Angie DeMange, Tammy Hartzell, Cindy Vogel and Steve Monnin present.


Secretary’s report:  Minutes from the July meeting were read and corrected as follows:  The costume room has 2 windows, not 10, which have been quoted for replacement.  Tammy motioned we accept the proposal and Angie seconded.  Motion carried.


Treasurer’s report:  Jan gave the treasurer’s report and stated there were two small cd’s maturing.  Kathy motioned that we consolidate to the 2  cd’s and suggested we keep it in SNB or VS&L.    

Summer Entertainment:  Cindy started off by complimenting Keith on the wonderful job he did lining up the groups this summer.  Angie was also praised for the outstanding job she did on publicity.  Therese suggested that we have a sign-up for who is hosting each performer next summer.  This way someone will be there to meet the groups and take care of their needs.  Keith agreed to do the line-up again next summer.


Election of Officers:  We would like everyone to have a position in the group.  Therefore, we arrived at the following slate of officers:

Therese will be asking Madelyn Borchers and Daniel Kuether (Maria Stein) to be our student reps this year.  A committee needs to list job descriptions for each office.

Elvis/Alan Jackson Show:  Tickets are going well.  Jan and Angie can help the night of the show.

Forever Plaid:  We discussed themed cakes for dessert, decorating tables, stage set-up and having a buffet line because of cost and speed.  Keith asked for help with props and costumes.  We will need to tear down the stage after show Friday night.

Upcoming Shows:  Pump Boys and Dinettes as a dinner theater probably next fall (Sept. ’08).  High Tops is looking for a date.  Therese is thinking about directing Oliver or Suessical for June show.  “Cindy IS ready” to direct again!  A group is going to La Comedia Oct 7th for Sunday brunch to see The Fantasticks.  Cindy would like more of us to go!


Old/New Business:  Sharon Tipton has asked for our help in starting at 5th/6th grade choir after school.  One board member per month (one week during the month) will help out:  Tuesdays from 3:15-4:00 in the elementary modular.  This starts in October.  We need to generate a help list at the next meeting.


Doug motioned that we set the LAST Sunday of the month at 6PM as our regular meeting.

Next meeting will be Sunday, September 30th at 6:00 pm at  VHCC.


JUNE 2007

The board met June 20th at VHCC with President Therese Pohlman presiding.  Present were Jan Donnelly, Kathy Magoto, Lynn Blakeley, Tammy Hartzell , Keith Rawlins  & Scott Gerling.

Sec Report:  Minutes from the May meeting were read and approved.

Treasurer's Report:  Cinderella expenses have been paid and a profit was made.

Cinderella:  Jan received many positive comments on Cinderella.  A new crowd of people attended the production, which was welcomed.

Forever Plaid:  Possible Memorial Hall performance on October 6th.

Board Members:  Each current Board member is to ask someone new if he/she would like to run for the Board.  Elections will be next month.  Those up for re-election are Angie, Scott, Tammy, Kathy and Cindy (5 spots).  Those continuing their 2nd year on the Board are Therese, Jan, Lynn and Keith.  We also need a new (or 2 new) student representatives as Alli Eiting and Tyler DeMange have both graduated.

GOBA/Summer Entertainment:  Everything is ready for the June 22nd kick-off.  Angie has been submitting articles to the paper on our summer series. 

Esther Pitsenbarger Scholarship:  Jan paid Ashland University $500.00 for Lindsey Brown's scholarship

September Elvis Show:  We talked about Doug Brewin, Alan Jackson Tribute Artist, and Dwight sharing the Sept. show.  It will cost $1500 more to add Doug.  It was agreed to raise ticket prices to $20 each.  Keith motioned that we do a double bill, and Scott seconded.  Motion carried.

Upcoming Shows:  Jim Kelch is interested in directing the musical Pump Boys and Dinettes as a dinner theater this winter or next fall (Sept. '08)  Therese asked if we could umbrella the show High Tops so that Cultural Arts would provide sound.  We tabled this until Therese can check with Matt Meyer regarding sound.

Old/New Business:  Lights are done in the costume room.  Steve Monnin is getting an air conditioner.  Denise Ruhenkamp donated two large racks.
Jan reported that the bank has given us a free line of credit if we overdraw, up to $5,000.  Jan also set a Costume Room workday for Thursday, June 28th at 6:30 PM
Next meeting will be Monday, July 23rd at 7:00 at VHCC.


May 2007
The meeting was held at VHCC with President Therese.  Present:  Jan Donnelly, Angie DeMange, Kathy Magoto, Lynn Blakeley, Keith Rawlins and Doug Gordon.

Treasurer's report:  A profit was netted on the April Elvis Show.

Kathy discussed that Raymond Nickol was doing the electricity and lights in the costume room.  We voted to increase the money to finish the job up there.  We agreed to have the money available as we need it.

Cinderella:  Jan asked for stage crew and helpers, concession stand workers, and people to help with set work.  Kathy will do sidewalk signs for the show.

Forever Plaid:  Rehearscore has been very valuable to the cast.  We discussed a raised stage option.  The show will be Sept. 20th (show only) and 21st (dinner & show).  We discussed a possible menu:  could we give them an option of ordering prime rib or chicken when they reserve their tickets?  Keith will check if we can bring in our own desserts or if we can add theirs.   Prices discussed were $25 for dinner & show, $10 show only.  Cash bar opens at 6 pm, dinner at 6:30 and the show at 7:30 pm.  We also suggested that T&CP send our patrons a poster (or postcard) of the show.

Summer Entertainment:  We received $5,000 from Midmark for summer entertainment.  We also received 3 new patrons.  Angie will put a summer series listing in the paper.

Esther Pitsenbarger Scholarship:  Last year's winners have never claimed their money.  After discussion, Keith motioned to give scholarships to both Tyler DeMange and Brian Schwieterman.  Kathy seconded.  All in favor, motion carried.

September Elvis Show:  We talked about Doug Brewin, Alan Jackson Tribute Artist, and Dwight sharing the September show.  Lynn will check on details.  There will not be a December 1st Elvis show in Memorial Hall, so we discussed having Forever Plaid on stage instead.

GOBA:  Kathy updated everyone on the upcoming June 22nd gathering.  High Country will play from 7:30 - 10:30; the GOBA bikers will karaoke with the sound system prior to the concert.

JANUARY 2007
We  decided to renew our membership in OCTA as a resource when we begin building our theatre.

Forever Plaid is scheduled for the last weekend in September.  Keith has a DCCA conflict on the 29th, however.  Different options were discussed.   Keith was authorized to purchase cd's that will teach the individual vocal parts.  He is also going to get a new quote on the rights.

Treasurer's Report:  Jan gave the treasurer's report and money is being made available for Forever Plaid.

Costume Room:  Scott's Electric will be installing more lights.  The High School Drama Club did a nice job of organizing.  There is still more to be done, however.

Cinderella:  Jan submitted a budget of $3,900.  Scott motioned to approve it, Angie seconded, motion passed. Performances will be May 31, June 1,2,7,8 and tickets will be Adults:  $7.00 and Children (12 & under)  $5.00.  Jan is still looking for a Music Director and an accompanist.  Amanda Borchers will help with costumes.  Auditions will be April 1st & 2nd.

Summer Entertainment:  The budget was discussed and the Patron drive will begin.  Kathy secured the High Country Band for June 22nd (GOBA) at $1,500.  Keith had leads on several other groups, including the Muleskinner Band, Eric Loy, Steve Madewell and Rob Faust (who does masks).  It was discussed that we offer something EVERY Friday this summer.

Elvis Concert III:  We have Memorial Hall reserved for April 14th for a 8 pm show.  Approximate cost will be close to $4,000.  Jan agreed to handle tickets again, and we will keep our $18.00 ticket price.

GOBA:  Kathy is the entertainment chair for GOBA this year.  She discussed what the GOBA committee is planning to do and asked for help from anyone on the Board who can lend a hand.

Most of us enjoyed a fun trip to the Victoria Theater to see Thoroughly Modern Millie after the meeting.

OCTOBER 2006
The meeting was called to order by President Therese.  Present:  Cindy Jan, Scott, Kathy, Tammy & Therese.

Sec. Report:  Kathy read the report and it was approved without correction.

Cindy advised the board that Tiger Eye has been donating the posters for all our events this year.
*Karen Fraiar still needs to sign off on the Esther Pitsenbarger account at the Savings and Loan.

 Forever Plaid
*Keith was unavailable for an update on the performances.  The present contract expired October 12th.  (We need to firm up WHERE, WHEN and HOW MANY shows.)

*Scott reopened discussion on catering the event, adding Joan Brandewie to the list of possible caterers.
New Business
*Cindy requested we consider a donation toward to Versailles’ amphitheatre.  This was tabled to discuss at a future meeting.
*Therese thanked everyone for all their efforts (09/30) in organizing the costume room.  Those volunteers were; Marie, Lynn, Bonnie, Therese & Jan.
*Jan reported she and the VHS Drama Club sorted through boxes (10/07) and labeled many items.
Elvis Show
Everyone was pleased with the success and fund raising power of the show.  We are tentatively schedule another show in June 2007.
  
June Show
*Jan brought before the board her willingness to direct Cinderella.  Tammy made a motion to accept Jan’s recommendation.  Everyone voted aye and the motion carried.
 Hometowne Christmas
*Kathy went through the schedule: Nov. 16-18. Need lots of help with Winter Princess Pageant.  Scott Ward has agreed to emcee the event.  Tammy agreed to line up three judges.  Therese will try to contact some of the businesses that failed to respond.   Tyler was nominated to line up the parade.  Therese and Scott said they could be on hand to help line up the parade.
 Kathy made a motion to adjourn with only two other members remaining the motion carried without a second.

September 2006

Treasurer's Report:  
Bleacher Bums profited under $100.  The question was raised as to where the leftover pop and water are.

*Wrote $500 check to WSU for Keith Pohlman for LAST YEAR’s scholarship.

Forever Plaid:  
Keith has changed the performances to Feb 16 & 17.  Ben York has committed to being in the show.  We need to firm up WHERE, WHEN, and HOW MANY shows.  We discussed catering.  Therese' sister-in-law Sharon Eyink or Lynn Gusching from Ft. Loramie were mentioned.

Elvis Show:   Lynn & Kathy reported what they needed for the shop.  Everyone volunteered to help.

June Show:  Discussed Cinderella or Wizard of Oz as options.  Jan will direct.  We agreed that it was time for a "family show.

Costume Room:  Main light is now in.  Kathy advised there needs to be an outlet in each room.  We will begin organizing the costume room Sept 30th at 9 am.

Hometowne Christmas:  Kathy went through the schedule:  November 16-18.  Need lots of help with Winter Princess pageant.  Discussed emcee and helpers.   Possibly Keith to emcee and Miss Chick winners as helpers.  Sleigh rides may not happen this year, Kathy explained.

Next meeting:  October 10th or 17th at 7 pm.


August 2006

Those present were: Jan Donnelly, Cindy Vogel, Therese Pohlman, Angie DeMange, Kathy Magoto, Tammy Hartzell, Lynn Blakely, Scott Gerling, Keith Rawlins, and Tyler DeMange.

Therese called meeting to order. Jan gave the treasurer's report and stated that new signature cards needed to be signed at the VS&L.c

The Summer Entertainment Budget was discussed. Midmark would like to have "higher quality" and more frequent entertainment for the summer concerts. It was discussed to bring in some well-known groups along with a few popular local acts.

Therese motioned we pay Keith Rawlins for the extra West Side Story shirts.  Cindy seconded.  We discussed selling these during Bleacher Bums.

Bleacher Bums: Cindy commented that the cast is fantastic and asked everyone for help with the show.  Tammy well sell popcorn and pop throughout the show.  Several Board members volunteered to help usher, etc. 

Forever Plaid:  Performances will be the end of February, perhaps at Romer's and Greenville Country Club or Versailles K of C.  Two shows may be dinner theater performances.  Three of the four parts are filled, and we most likely have co-accompanists.

Elvis Concert:  190 seats left to sell through Jan Donnelly and E Z Journey.  Kathy will see if the Fair Board will let us put up posters for the event.  Kathy & Lynn will be asking Board members for help with set-up, food, ushering, ticket taking, etc.

June Show:  Jan is willing to direct the musical Cinderella if it meets Board approval.

Next Meeting:  Tuesday, September 12th at 7:00 PM at VHCC.  (The meeting was moved 1 week earlier to address any last minute details with Elvis).


July 2006

The Towne & Country Players Board met July 10th, 2006 at Versailles Elementary, due to Bleacher Bums auditions. Those present were Therese, Tricia, Lynn, Angie, Kathy, Cindy, Tammy, and Jan.

West Side Story turned a smaller than expected profit. Expenses were much higher than expected.  Discussion followed on if and/or how much we should pay the orchestra members. We donated $700 to Versailles Cultural Arts.

The April Elvis profit was donated to Versailles Cultural Arts.

Under Board elections, the following members’ terms were up for re-election: Therese, Jeremy, Lynn, Keith, Jan, Tricia and Dusty. The Board voted to re-elect Therese, Lynn, Keith and Jan. Our new student representatives will be Tyler DeMange and Alli Eiting. Those continuing their 2nd year on the Board are Kathy, Cindy, Angie, Tammy and Scott.

Officers were elected as follows:  President - Therese, Vice President - Kathy, Secretary - Lynn, Treasurer - Jan, Entertainment Chair - Keith, Costume Room Chair - Cindy, Webmaster - Kathy, Technical Chair - Scott, Publicity Chair - Angie, Political Liaison - Tammy.   Job descriptions and workload for each office was discussed.

Cindy and her cast will present the comedy Bleacher Bums August 31st, September 2nd and 3rd. Everyone needs to help out in some capacity and support our show!

Keith has expressed interest in presenting Forever Plaid as a dinner theater in January or February. Marie Daugherty will be contacted to accompany. There was discussion on places to hold the performance, as well as contacting Romer’s Catering  to see if they would like to hire us to perform the show at their facility.
